The aim of this policy is to set out how KiteHR, holder of Private Employment Agency License number 340, will use and store information that you provide to us by direct email with regard to job applications or requests for information relating to current or future job opportunities. We are committed to protecting all personal data as per the GDPR.
By submitting your CV and cover letter (where applicable), both of which contain your personal data, you are agreeing and consenting to its processing, transfer & storage.

Data Collected

Our aim is to collect job-related information only, any sensitive personal data such as name, address, telephone number, email address and any other personal information would be obtained only from your CV and covering letter (if applicable) as submitted by yourself.
In case there is a LinkedIn profile available, we will also hold any public information displayed there that is relevant to your submitted application.

Data Usage

We will use your data for the purposes of our recruitment and selection process only, more specifically the data you have supplied which is contained within your CV will be used as follows:

To review your data in terms of experience, knowledge, qualifications etc against the vacancy requirements for which you have applied, or any other vacancies we may have available now and in the future.

To send your details to clients in order that they can review your details and experience in relation to their vacancy and assess your suitability.

To be able to contact you via email, telephone etc with regards the recruitment process and to arrange meetings and calls as part of this and ultimately provide a prompt and efficient service in response to your application / query.

To provide information to regulatory or law enforcement agencies, if so required.

Our recruitment is managed centrally from our office base in Nicosia, Cyprus. All incoming CV’s / applications containing personal data are reviewed and managed with the aim to ensure upmost confidentiality and security of your data. Your data will be transferred only for the purposes of recruitment services and all steps reasonably necessary will be made to ensure that your data is treated securely.

By submitting your CV and cover letter (where applicable), both of which may contain personal data, you agree and consent to this processing, transfer & storing.

Information Retention

Only the data provided by you will be retained in our records for recruitment purposes only. We will retain your data for the duration of our recruitment process until the open role is actively filled unless otherwise requested by yourself. This time period will also ensure we can provide an efficient response service to you, and should any immediate changes with regard the role occur then we can again contact you for reconsideration, or any further suitable vacancies arise. If this is not the case then your details will be deleted in full from our records.

In case that we wish to retain your details for a longer time period, up to 12 months, we will contact you to gain your overt permission to do this.

Information Storage & Security

All personal data, including CV’s, is stored in a safeguarded location. All access to your data is logged with audit trails and access is only granted to explicit employees of KiteHR within the scope of their duties. Each employee uses a dedicated set of authentification credentials.

Your Rights

You have the right to request a copy of the information supplied by you that we hold.
You can object or withdraw your consent to the use of your personal information at any time. This may affect the services we are able to supply to you.
Furthermore you have the right to contact us should you wish to take any of the following actions relating to your data:
– Request access by means of a copy.
– Correct any inaccuracies.
– To have your data erased.
– To restrict the processing of your data.
– To object to processing.
– To withdraw your consent to access / processing.
– To be kept informed about the processing.
– Request complete deletion of all your held data.
